Poly Video Conferencing unit with Teams Room functionality

Introduction

This article documents the process to purchase a Poly video conferencing unit (with support) capable to operating as a Teams Room.

Article Body

Step 1: Poly video conferencing units capable of operating as Zoom Rooms are available on the SIMBA Marketplace.  Here is the process:

  1. Log into SIMBA
  2. Click on the Shop Onlion tile
  3. Next click the Shop link
  4. Then click the Lion Marketplace link
  5. In Search field, enter the Equipment Part Number or the Support Number below and click return, or use CDWG Poly Studio X50 (as an example) if one of the part numbers below does not pull up a result as these CDWG part numbers may change frequently.

 

Small Room System: Poly Studio X30 with the Poly TC8 and 5 years of support (Used recently: Equip Part Number 5825395 and Support Number 6917602)

Medium Room System: Poly Studio X50 with the Poly TC8 and 5 years of support (Used recently: Equip Part Number 5825403 and Support Number 6917608)

Large Room System: Poly Studio X70 with the Poly TC8 and 5 years of support (Used recently: Equip Part Number 6690401 and Support Number 6917584 )

(Please note that CDW has been asked to update the offering descriptions as the support part number title indicates 1 year of support while the body of the description correctly indicates 5 years of support.)

 

Step 2: Once your Poly unit is received, please submit a Network request to activate Network ports with appropriate VLANs and Firewall rulesets. (Plan for 2-3 days to have the Network port activated - assuming you are supported by the Enterprise Network team and don't have local IT networking)  Note that you will need to provide the Poly device models, equipment serial numbers, MAC addresses, and jack locations to activate the network jacks. 

Please submit your Network request with the description below:

Please activate two ports for video conferencing devices, note that there are 3 requests to this ticket:
1.  Assignment of IP address to Zoom Equipment (2)
    Example: OPP Room 106, Touch Panel (requires POE) MAC  00:E0:GH:9C:72:9C, JACK#A4056
    Example: OPP Room 106, Poly X30 Device MAC 00:P0:DB:7A:56:GH, JACK#A3052
    
2.  Firewall Request/NAT Work:  Please set FW rules to allow outbound connectivity to the internet.  

3.  Activation/Patching of Jacks:
     Example: OPP Room 106, JACK#A1056 (requires POE)
     Example: OPP Room 106, JACK#A0252

 

Step 3: Request a Teams Room Pro License.

Step 4: Schedule time with your local support group to install the equipment after the ports are activated and your Teams Room has been enabled (wherein a code will be provided).  See Pairing the Poly Studio x50 Soundbar to Teams Rooms

Step 5: We also recommend that users review Teams Room functionality

 

Converting a Zoom Room to a Teams Room

Use case: Migrating your Poly Video device to Teams

Migration prerequisites:

  1. Verify room in Zoom
    - Gather controller info (MAC/IP)
    - Gather appliance info (MAC/IP)
    - Verify traffic in Zoom Admin portal dashboard
  2.  Verify Teams provisioning
    - Room will have to be built out in Teams using an O365 Room request
    - Proper licensing has been provisioned
    - O365 Room account credentials must be shared with team that is deploying/supporting

Reconfigure your Poly X Studio videoconferencing codec

  • Log into X Studio codec web UI
    1. Under the General Setting > Service Provider menu
    2. Change provider from Zoom to Teams
    3. Codec will reboot
  • Sign in the controller and the appliance
    1. Controller and appliance will reboot into Team mode and provide a device login URL and a login code.
    2. From https://microsoft.com/devicelogin - follow the on-screen prompts
    3. Web UI redirect  > MS authentication broker prompt
    4. Web UI redirect > Continue with userid provisioned for login of the O365 room
  • Pair controller with appliance from the controller interface "Search"

Note: Camera controls are not present on the Teams control panel so it is recommended to enable tracking mode on your Poly X Studio codec

Poly Sleep Settings (Configure Poly codec Sleep settings to prevent Teams devices from loss of pairing.) - Assuming that the device is woken up at the start of the business day.

 

Crestron Scheduling Panels will also require the requests noted in steps 2 and 5.  (Note that a normal Departmental admin port is all that is needed for these panels - please indicate this on the Network request.)
