Introduction

The Account Setup tab allows AOR, or Hershey DRA users (and their delegates) to enter information that Research Accounting will use to complete a SIMBA financial record.  This Article goes over the specific functions of the Account Setup tab.

IAF Data Entry - Account Setup tab

The Account Setup tab allows AOR, or Hershey DRA users (and their delegates) to enter information that Research Accounting will use to complete a SIMBA financial record. If the user's role is not AOR or DRA, this tab is read-only. If Research Accounting has already completed account set-up in SIMBA, this tab is read-only.

Note that this tab is not required for IAFs administered through ARL.

The top of this form contains a block of instructions, and possibly buttons to direct the system to upload a completed form, and to display the latest uploaded form.  The instructions block can be opened and closed.

 

Below the instruction block is found the tables:

The "Base IO/Sponsored Program" table is initially a single row with the Sponsored Program name pre-filled. This table is used to fill in information pertaining to the IO record that is created automatically in SIMBA. The Sponsored Program name may be edited on the first row, and other rows may be added as needed to indicate additional Responsibilities.  Effective 12/06/2022, IAFs will auto-populate with specific information, which can be edited by the user.

The "Additional IO/Sponsored Programs" table can have multiple rows. These will be used to direct the creation of additional IOs or Sponsored Programs for the grant.

The "Responsibilities on Grant" table, effective 12/06/2022, will auto-populate with specific information, which can be edited by the user.

The "Responsibilities on each Sponsored Program" table is displayed with any previously-saved information, and one empty row below the previous information. To add a new empty row, the final empty row must contain some information. Click an "Add Row" button, shown above each table, to save the current information and display a new empty row.

The "Upload Form" button is used to prepare and store information from this tab as documents for this IAF. The same information is stored both as a printable PDF file and as an Excel spreadsheet file. These files may be used by Research Accounting when establishing a SIMBA financial account.

Clicking the "View Form" button will retrieve and display the most recent PDF form that was generated by clicking the Upload form button. This button only appears after a form has been generated and uploaded.

Note: For legacy IAFs still in process created prior to 12/06/2022, as long as the first row of data in the tables is blank, the auto-population of data will occur regardless of when the IAF is created.

Read-Only Display

When the Account Setup tab is shown in read-only mode, a note to that effect is shown at the bottom of the instruction block. If the user viewing the form does not have the role of AOR, or Hershey DRA, the note reads, "Tab cannot be edited". When the mouse pointer is over the note text, the additional information, "Only an AOR/DRA may edit this tab" appears.

 

If Research Accounting has completed the financial account setup in SIMBA, the note reads, "Setup Completed", and the hover text is "Research Accounting has completed the grant setup, this tab may no longer be edited."
