Introduction

Once an IAF has been created there are various processing states. The processing state is an indicator of where the IAF is in the approval process.

Proposal Pre-Workflow: A Proposal IAF has been entered by an AOR, DRA, or DP. An IAF cannot advance past this state without AOR or DRA approval and is in a a processing state and is not available for pending proposal reports.

Proposal In Workflow: The Proposal IAF has been released to workflow by the AOR or DRA and is now waiting for approvals and is in a processing state and is not available for pending proposal reports.

Pending Proposal: The Proposal IAF has received all required unit based approvals and has been submitted to a central processing office.  Is reportable as a pending proposal.

Award Pre-Workflow: An award notice has been received from the sponsor and acknowledged by the following:

    • Proposal is in a Pending Award state.
    • The central processing office creates a New or Additional Funds log record and matches a pending proposal. The pending proposal is transitioned into an Award IAF and returned to the submitting unit if additional information is need for processing the award.
    • The submitting unit transitions a pending proposal into an Award IAF or by starting an advanced fund request (see “Creating an Internal Order Number”).
    • The submitting unit creates an AIAF (no proposal submitted).
    • Is reportable as a pending proposal.

An IAF cannot advance past this Award Pre-Workflow state without AOR or DRA approval.

Recalled: The IAF has been removed from workflow by an AOR or DRA for additional data entry. Is reportable as a pending proposal.

Revision: The IAF has been removed from a submitted status by an AOR or returned for revision by the central processing office.  Note that this state is also represented as “Recalled”. Is reportable as a pending proposal.

Pre-Award: The Award IAF or AIAF has received all required unit based approvals, has been submitted to a central processing office and is waiting final award processing. Is reportable as a pending proposal.

Awarded: The Award IAF or AIAF has been fully processed by a central processing office. No further edits can be completed to the IAF without removing the award. Is reportable as an award.

Not Funded: The proposal has been marked as “Not Funded” by the PI through the myResearch portal.  The proposal is no longer in an active state and can no longer be processed to an award.

Withdrawn: The proposal has been marked as “Withdrawn” by the central processing office or submitting unit.  The proposal is no longer in an active state and can no longer be processed to an award.

Purged: The proposal had been pending for more than 18 months and was automatically marked as purged.  The proposal is no longer in an active state and can no longer be processed to an award.
