Introduction

This article explains how to run the Vendor Line Item Report from the Vendor Line Item Report tile, which displays open (outstanding to be paid) items for a particular cost object.

Note: The Vendor Line Item Browser tile generates a similar report, which displays payment information and invoices related to a cleared payment and invoices for open items. This report is useful when the user needs to see which invoices are cleared by a payment document, particularly if the cleared invoices are from multiple business areas. This report is also useful when there is a problem with an invoice that causes other payments  from other business areas to be held up. 

 

 

Article Body

Complete the following steps to run the Vendor Line Item Report.

  1. Select the Vendor Line Item Report title to display documents with a Document Status of Open.

  2. In the report header, click the Settings gear icon to display the View Settings screen.

  3. Click the Filter tab and set criteria to identify open items.

  4.  Set filters to determine what you want the report to include.

    1. From the left-most drop-down list, select a cost object such as Business Area, Fund, Fund Center, Funded Program, or Grant.

    2. From the next drop-down list, select a qualifier.

    3. In the text field, enter text words or numbers relevant to the selected cost object.

    4. Click the plus sign at the right end of the row.

    5. Repeat this process for each desired cost object.

  5. Click the OK button in the View Settings window footer to generate the report.

  6. (Optional) In the report, complete the following tasks as desired.

    1. Apply additional filters in the report header.

    2. Select the download drop-down arrow to download the data into an Excel file.
      Note:
      Any additional filters you applied remain intact during this download.

    3. Click a linked Document Number to display the corresponding document.

    4. Click a linked Vendor Number to display the Supplier screen.
