Introduction

This article explains how to run the Vendor Line Item Report to generate a list of open (outstanding to be paid) items.

Note: The Vendor Line Item Browser tile generates a similar report, which displays payment information and invoices related to a cleared payment and invoices for open items. This report is useful when the user needs to see which invoices are cleared by a payment document, particularly if the cleared invoices are from multiple business areas. This report is also useful when there is a problem with an invoice that causes other payments from other business areas to be held up.

  1. Select the Vendor Line Item Report tile.

  2. In the report criteria header, set Document Status to Open


    1. Click the Possible Values icon in the Document Status field to define conditions.
    2. In the Define Conditions dialog, select equal to from the drop-down and enter OPEN in text field. 
    3. Click OK to close the dialog.

  3. (Optional) Filter by cost object. 

    1. Click Adapt Filters  in the report header to select additional filters to appear in the header.


    2. In the Adapt Filters dialog, scroll down to find the desired cost object, such as business area, funded program, or fund.

    3. Click More Filters under the desired cost object. 



    4. In the Select Filters dialog, select the check box for the desired filter.
    5. Click the OK to close the dialog and populate the report header with a field for the selected filter. 

    6. In the report header, select a value for this newly-displayed cost object field.

  4. Set additional filter options, as desired.

  5. Click Go in the report header to generate the report.


  6. (Optional) In the line item section of the report, complete the following tasks, as desired.

    1. Click the Settings icon to adjust how the data is displayed in the report.

    2. Select the Export drop-down to download the data into Excel.
      Note:
      Any additional filters you applied remain intact during this download.

    3. Click a linked Document Number to display the corresponding document.

    4. Click a linked Vendor Number to display the Supplier screen.
